Required PA Office Admin in Dubai

We are currently seeking and experienced PA/Office administrator to join our team in Dubai. The position is a very dynamic role and will suit someone who is a quick learner, self starter, highly adaptable and able to build strong working relationships with the internal Stakeholders.

Primary Duties and Responsibilities:

o Management of the MDs diary and appointments

o Assist MD manage output, workflow and office deadlines

o Answer and relay accurate and timely messages from clients and customers to the MD, and answer queries where possible

o Prepare agendas and take minutes during business meetings

o Draft, type and dispatch MDs correspondence

o Arrange off-site meetings, including working with hotels to secure rates and availability; liaising with all parties to ensure attendance and accommodation. Some attendance at events required

o Co-ordinate MDs, and 2 Senior Executives travel in conjunction with in-house travel policy, including visas, passport renewals, transfers, etc.

o Set up conference calls and Webexs

o Prepare presentations and reports

o Provide office administration support to the segment staff, including secretarial duties, such as preparation of Power Point presentations, letters, spreadsheets etc.

o Raise purchase orders and general admin and filing (some liaison with accounts)

o Reconcile expenses for MD and 2 Execs

o Support for Admin across office including reception and finance

o Facilities management, including vendor management and internal liaison

o Ad-hoc duties as required to ensure the smooth running of the entire office
