Technical Secretary Junior Civil Planner

Support project management team to ensure adherence to weekly, fortnightly, and monthly project progress and generate reports.

In conjunction with the Manager, prepare a program of works that indicates the sequence of operations, dependencies and resource requirements.

Monitor the material submittal, approval, and procurement schedule against the project plan and update or revise.

Accurately record progress and adjust forecasts as required.

Prepare reports on progress and causes of program/progress variations.

Weekly monitoring of project plan and preparation of weekly progress plan to be submitted for weekly project progress meeting and ensure timely notification of delays.

Also, prepare monthly progress reports for all the projects based on on-site visits and project progress reviews.

Coordinate information between other parties.

Preparation of information schedules inclusive of Architects, Engineers, nominations, and long lead schedules.

Liaising with surveyors, engineers and architects.

Producing progress reports and forecasts for Operational Manager and Project Director.

Breaking large jobs down into phases of development.

Using project management tools to plan timeframes.

Working with estimators to calculate the resources needed for a project.

Planning target programs in case needed

Demonstrating knowledge of construction

Reporting progress of several projects

Working between offices and construction sites.

Provide full secretarial and admin support to the Project Director and Engineering department to ensure the smooth running of the department operations.

Maintain records of Engineers and assist in their movements.

Take minutes of meeting and maintain records for the operations and project team.

Develop and maintain document control processes for the efficient management.

Maintain a proper and user-friendly filing and document control system for recording and tracking of all documents for the project team and department.

Schedule and arrange Meetings.

Must have knowledge regarding technical terms and phrases associated with their industry. Such knowledge enables them to communicate more efficiently with staff members, vendors, and clients.

Support the Department Head in daily admin roles.

Perform data-entry, recording, printing and filing duties.

Undertake any ad-hoc admin projects/duties as required.

Excellent computer skills including Primavera P6, MS Word, MS Excel, Outlook and Power Point.

Strong work ethic and honesty

Strong organizational and interpersonal skills.

Ability to think outside of the box.
